Cancellation & Refund Policy
Overview
Each Dunes to Glaciers expedition is custom-built, privately guided, and paid for in advance to our local partners, vehicle providers, and accommodation hosts. Because of this, all bookings are strictly non-refundable once confirmed.
We design every journey to remote regions where logistics, permits, and local arrangements are secured long before departure. These costs are non-recoverable, and therefore, refunds cannot be issued except under limited circumstances described below.
How to Cancel
All cancellations must be submitted in writing to hi@dunestoglaciers.com.
The cancellation date is considered the date your written notice is received.
Deposit and Payment
- A non-refundable deposit is required to confirm every booking.
- The remaining balance must be settled before the specified payment deadline stated for each trip.
- All prices and fees are listed in Kuwaiti Dinar (KWD).
Cancellations by Participant
Because our expeditions are fully pre-booked, no refunds or credits are provided if you cancel, fail to show up, or choose to leave the expedition early.
You may, however, transfer your seat to another qualified participant up to 14 days before departure, with our written approval and a 50 KWD transfer fee to cover administration and supplier adjustments.
Cancellations by Dunes to Glaciers
If we must cancel an expedition due to operational reasons (e.g., low participant numbers, route restrictions, or unforeseen circumstances), you will be offered a full refund or a credit toward a future expedition — your choice.
Force Majeure
If a trip is disrupted or canceled due to events beyond our control — such as extreme weather, border closures, natural disasters, or government restrictions — refunds will only apply to recoverable supplier costs. In most cases, a future trip credit of equivalent value will be offered.
Travel Insurance
Dunes to Glaciers does not provide travel insurance. Each participant is responsible for securing their own comprehensive travel insurance that covers:
- Trip cancellation and interruption
- Medical emergencies
- Off-road driving and adventure activities
Why Refunds Are Limited
Our expeditions require advance payments to secure vehicles, permits, local guides, and accommodations in remote regions. These suppliers operate on strict non-refundable terms, which makes it impossible to recover payments once confirmed. To maintain fair pricing for all participants, Dunes to Glaciers cannot absorb these non-recoverable costs.
Refund Processing
If a refund is approved under our cancellation terms, it will be processed within 30 business days of confirmation. Bank or transfer times may vary depending on your provider.
Acceptance
By booking with Dunes to Glaciers, you confirm that you have read and understood this Cancellation & Refund Policy. All bookings are also governed by our full Terms & Conditions.
